Carpe Viam Destinations is a next-generation vacation club committed to helping travelers “Seize Your Journey.” With a flexible, member-first approach to vacation ownership, we operate out of the iconic California Building in New Orleans and serve travelers across the country. As our sales volume grows, we are hiring a detail-oriented Contracts Administrator to manage member agreements, maintain compliance, and streamline documentation within our legal and sales processes.

Position Overview:

The Contracts Administrator will oversee the processing, accuracy, and compliance of all vacation club membership contracts and associated documents. This role requires working closely with the sales, verification, and legal teams to ensure smooth execution of all contracts and adherence to regulatory standards. This individual will be critical in managing the integrity of member agreements and maintaining a high standard of accuracy across the sales funnel.

Key Responsibilities:

• Draft, review, and process all vacation club membership contracts and related documentation.

• Ensure all contracts comply with state and federal regulations, including seller of travel laws and disclosure requirements.

• Coordinate contract flow between sales reps, verification officers, finance, and legal.

• Manage secure storage, digital tracking, and retrieval of executed documents.

• Perform quality assurance checks on contracts for completeness, accuracy, and compliance.

• Maintain up-to-date knowledge of regulatory changes affecting the vacation ownership industry.

• Support audits and reporting requests from regulatory agencies and internal stakeholders.

• Assist in onboarding of new agents and staff with compliance training and contract protocols.

• Communicate with members post-sale regarding contract status, missing documents, and legal questions (non-advisory).

• Support the Project Director in special compliance initiatives, filings, and licensing as needed.

Qualifications:

• Minimum 3 years experience in contracts administration, compliance, or document control.

• Experience in vacation ownership, real estate, or hospitality industry preferred.

• Familiarity with timeshare regulations, seller of travel laws, and FTC guidelines is a plus.

• Strong organizational and time management skills.

• Excellent attention to detail and document accuracy.

• Proficient with contract management systems, DocuSign, and digital filing tools.

• High level of professionalism, confidentiality, and discretion.

• Must be local to New Orleans or able to reliably commute.
